Client Services Professional/Receptionist


 


Greeted and interacted with clients in a polite and friendly manner. Made sure the client felt like they were #1. Scheduled and confirmed appointments for new and returning clients using H&R Block software. Paired prior clients with their former accountant and new clients with an accountant who best suited their needs and schedule. Prepared client packages and insured supplies were available for accountants and clients. Accepted charge, check or cash payments using the H&R Block accounts receivable system. Emptied trash each night, maintained a professional and clean office appearance at all times, changed/updated advertising signs, and kept printers full.


 


Town of Madison, Madison, CT             2006 - 2015


Administrative Assistant to the Director of Human Resources


 


Met with new hires for all 12 Town Departments and assisted them with processing their Human Resources paperwork which included tax withholdings, drug testing, physical exams, fingerprinting, selection of benefits (health, life, short and long-term disability, flexible spending), obtaining their acceptance and signature of Town policies and procedures, and more. Assisted with job advertising.  Established a process of accepting applications, entering data onto an 


Excel spreadsheet, providing information to department heads, then following up with ‘thanks but no thanks’ letters for those candidates not chosen. Completely coordinated the Annual Benefits Fair for all 105 employees and the Town’s vendors. Tracked Workers’ Compensation of injured employees and maintained required OSHA forms to document all injuries.  Worked outside of the Human Resources arena to receive and track all liability, auto, and property claims for the Town.  During three severe weather emergencies (two hurricanes and a blizzard) which hit Connecticut on weekends, I was the only general hourly employee to graciously work with Emergency Management personnel for the good of the Town.

Bookkeeper


 


Managed funding and assets for an 823-student elementary school (grades 4-6) with 55 teachers and staff.  These included daily cafeteria receipts, night deposits, supplies, textbooks, student field trips, and 23 bus drivers’ time sheets.  Assisted in the Main Office as a fill-in secretary and provided assistance during student arrivals and departures.  Tracked teacher and substitute teacher attendance. Calculated time sheets using Fastime Time-Clock software for non-exempt employees, calculated 23 bus drivers’ hours, and coordinated teacher and substitute teacher attendance. Managed the process of distributing asset inventory sheets to teachers, tallying and coordination, acquisition, transfers, and disposition of assets. Prepared monthly reports and reconciled bank statements.

Guidance Department Secretary


 


In a busy and demanding high school guidance office of 1,050 students, interacted with students on a daily basis with questions or problems, provided assistance, or guided them in the correct direction.  Independently organized, coordinated, and set up two large awards and scholarships ceremonies.  Prepared 1,000 senior student college application packages each year, kept an Excel database current each day, and performed print merges.  Maintained a suspense-type guidance master calendar to ensure seminars, informational meetings, and College Board deadlines were met.  Assisted in setting the guidance budget each year, then ordered supplies and paid expenses being cognizant of the line item balances.  Typed and distributed memos to 206 faculty and staff members.

Managed a busy optometrist’s office, in person and remotely, for 33 years. Duties included payroll, accounts payable, Federal and State tax payments, financial reports, and bad debts. Personally researched, recommended, and facilitated the movement of manual tasks to electronic tasks using Time Wolf Time Clock system, Quicken and QuickBooks to save time. Filled in at the receptionist’s desk on an as-needed basis.
